If you are interested in using the Kelly-Strayhorn for an event, please review carefully all of the information in this section of our website (see links below). Then:
- Contact our office at 412-363-3000 x. 103 or, if you prefer, send a detailed e-mail here with the following information:
- Dates in which you are interested. (It is wise to have several possible back-up dates in case your original choice is already booked with another event.) Remember that you need to allow sufficient days or time for set-up and rehearsals as well as performances.
- A description of the event you wish to present. Please give us as much information as possible, so that we can better advise you of the cost choices available to you. If you are planning a reception, for instance, as part of your event, it is wise to let us know in advance.
- As statement of whether or not your group is a federally-designated non-profit organization.
- A basic description of your technical requirements. How complicated are your lighting and sound needs? Do you need video/PowerPoint projection?
- Based on the information you give us, our staff will let you know what date options are available, and will prepare a cost estimate for you. We can also send you a complete information kit, including a sample License Agreement, which is the contract you will be signing.
- During your process of examining the cost estimate, the Kelly-Strayhorn staff are available to consult with you to plan the most economical use of your resources within the parameters of the Kelly-Strayhorn's cost structure.
- Once you have reviewed the cost estimate and instructed us to proceed with the booking process, we will create your License Agreement. Two copies of the License Agreement will be sent to you, to be signed and returned along with the required deposit and insurance information, by the due date listed in the Agreement. Upon receipt of these items, we will confirm the clearing of your deposit check, and then return to you a copy of the License Agreement signed by the Theater, thus binding your right to use the Kelly-Strayhorn on the chosen dates. If the License Agreement and other required items are not returned to us by the due date, the dates you have chosen revert to open availability for other users.
- Once the License Agreement is fully executed by both parties, you will then need to send us all applicable event information for posting on our website and inclusion on our telephone information system. Staff will assist you to be sure that all information is received on time, and will continue to advise you in the planning of your event.
